Navi is hiring an Operations Coordinator to help continuously improve the company’s standards of care for clients, nurses, and healthcare partners, while also supporting the scale of Navi’s operations.
Operations Coordinator Role Summary
The Operations Coordinator ensures active clients receive the co-created care plan that has been developed by the nurse navigator and delivered by the field nurse team. As the epicenter for shift scheduling and client contracts, the Operations Coordinator will also interface with the sales development representative, the client billing team, and the payroll team to ensure every internal and external detail for every client is well-tended.
The Operations Coordinator will work in the Nurse Administration Department, which operates Mon-Fri 8am-5pm and Sat-Sun 10am-5pm. Ideal candidates for this role are available for at least 30 hours of work per week, including weekends. Qualified candidates will be offered flexibility in their weekly hours and days worked, with an opportunity for partial-remote working locations upon successful completion of in-person training.
Job Duties And Responsibilities
The Operations Coordinator will report directly to the Director of Nursing (DoN) to effectively:
- Draft client contracts from the Sales Development Representative.
- Deliver client’s co-created plan as designed by the nurse navigator.
- Ensure all field nurse shifts are scheduled correctly and audit shift hours for the payroll team.
- Upload correct client information into Charm EHR.
- Audit client billable hours for the billing team.
- Answer support questions from active clients and field nurses, nurse navigators and/or partners and escalate appropriately.
- Support daily communication with active clients and the billing team to insurance companies, and long-term care providers to accurately invoice each entity for services delivered.
- Ensure all client shifts are posted and open client shifts are filled each day through the utilization of Navi’s messaging and scheduling platforms.
- Escalate nurse and client issues to the Nurse Navigator and DoN for resolution of client and nurse support needs.
- Interface with Navi’s recruiting, engagement and operations departments, to support special projects and assignments that will be approved by the DoN.
- Manage and complete daily reporting and analysis to ensure metrics are reported correctly to the Nurse Navigator, DoN and Executive Leadership team.
- Execute specific projects and tasks assigned by the Nurse Navigator and DoN.
Minimum Qualifications & Education Requirements
- Ideal candidates will have at least a Medical Assistant (MA) or Certified Nursing Assistant (CNA) certification, or equivalent.
- Ideal candidates will have degrees and / or certifications related to healthcare and / or nursing.
- Bachelor’s degree or equivalent, preferred.
Other Requirements & Skill Sets
- Ideal candidates would have at least 2 years of experience customer support and / or general administrative work, especially in a healthcare setting.
- Comfortability with technology and excellent knowledge of Google Suite Tools, Outlook and Gmail, and project management platforms.
- Enjoy a fast-paced, startup environment with high levels of autonomy and ability to learn quickly on-the-job.
- Excitement to adapt to the changing responsibilities of this role as Navi continues to scale across the US.

- Flexible; candidates that successfully complete 40 hours of in-person and / or online training with a Nurse Admin and / or Director of Nursing will be eligible for flexible work locations on certain days.

Compensation
- Role Type
- This is a 1099 contract position. High-performing candidates may be eligible for employment after at least 6 months.
- Compensation
- $20-30 per hour based on experience level and certifications. Opportunity for performance-based bonuses on at least a quarterly basis.
